HOSTED BUYER TERMS AND CONDITIONS (“Terms and Conditions”)
1. DEFINITIONS
1.1. In these Terms and Conditions, the following words shall have the following meanings unless the context otherwise requires:
1.1.1. “Event” or “Show” means the WTM Spotlight Riyadh in-person event running from 8 - 10 September 2026, also referred to as WTM Spotlight Riyadh 2026 or “WTM Spotlight Riyadh”.
1.1.2. “Exhibitor” refers to any supplier of travel products who has contracted with RX to take stand space at the Event.
1.1.3. “Hosted Buyer” is a term designated to a travel trade professional or buyer of travel products who has registered to attend the Event and has been qualified and accepted by RX, subject to these Terms and Conditions, to participate in the Hosted Buyer Programme.
1.1.4. “Hosted Buyer Programme” is an exclusive and limited capacity programme whereby RX provides accommodation and other benefits to Hosted Buyers who have qualified to participate and who, in return, agree to commit to the programme requirements, including but not limited to a minimum number of pre-scheduled appointments.
1.1.5. “Pre-Scheduled Appointment” is an appointment organised by RX between a Hosted Buyer and an Exhibitor taking place at the Event.
1.1.6. “RX” means Reed Exhibitions Limited, of Gateway House, 28 The Quadrant, Richmond, Surrey TW9 1DN, United Kingdom, the organiser of the Event and the contracting party with the Hosted Buyer.
1.1.7. “WTM Spotlight Riyadh Hosted Buyer Team” refers directly to the RX Event team based at Gateway House, 28 The Quadrant, Richmond, Surrey TW9 1DN, United Kingdom.
2. APPLICATION PROCESS
2.1. All applicants must complete the online ‘Register your Interest Form’ in order to be considered for the Hosted Buyer Programme.
2.2. Completion of the online ‘Register Your Interest Form’ does not automatically guarantee a place on the Hosted Buyer Programme. Applicants will be notified if they have been successful and each applicant must undergo a strict qualifying process. RX’s decision whether or not to accept a buyer into the Hosted Buyer Programme is final.
2.3. Due to limited capacity it is not possible to accept every buyer who applies into the Hosted Buyer Programme.
2.4. A non-refundable registration fee of US$250 (+VAT). is required if the applicant buyer is accepted into the Hosted Buyer Programme. RX will only accept one application form per buyer company. In the event of more than one application per company being received, only the first application form will be considered.
2.5. All applicants must be aged 18 or over and must meet Hosted Buyer application requirements set out below in these Terms and Conditions to be considered.
2.6. All applicants will undergo a vetting process against strict qualification criteria and may be contacted for further information to support their application.
2.7. The Register Your Interest Form must be completed in full. Forms with missing, outdated or incorrect information will not be considered.
2.8. Any references provided in the Hosted Buyer Registration Form may be contacted at any time during the application process.
2.9. Applicants must only apply if attending the Event to invest in outbound travel products and services and must NOT be attempting to sell any kind of inbound products and services.
2.10. By submitting the Register Your Interest Form and the Registration Form for the WTM Spotlight Riyadh Hosted Buyer Programme, the applicant acknowledges and agrees to be bound by these Terms and Conditions.
3. REGISTRATION
Applicants will be informed by WTM Spotlight Riyadh Hosted Buyer Team if they are successful and will need to complete the following to secure their place (failure to do so will result in their Hosted Buyer place being cancelled): 1. complete the official show registration form; and 2. pay the required non-refundable registration fee of US$250 (+VAT).
4. HOSTED BUYER APPLICATION REQUIREMENTS
4.1. To apply and be considered as a Hosted Buyer, all applicants must meet the below requirements:
4.1.1. be a senior travel industry professional with direct purchasing and contracting authority;
4.1.2. have direct spend or intent to place business in Saudi Arabia;
4.1.3. be able to demonstrate current Saudi Arabia-related products or showcase a clearly defined business model for inbound or outbound activity in Saudi Arabia;
4.1.4. have an annual budget that is consolidated in various categories (flights, hotels, transport, etc.);
4.1.5. not have participated in the WTM Spotlight Riyadh Hosted Buyer Programme in the last three years;
4.1.6. be willing to adhere to all Hosted Buyer Programme commitments including but not limited to the required appointment minimum;
4.1.7. be able to provide references for business conducted in the last year;
4.1.8. be able to speak English to an intermediate level in order to converse with international Exhibitors.
For clarification, the Hosted Buyer Programme will be conducted in English.
5. HOSTED BUYER PROGRAMMES
Invitations to buyers are at the discretion of the WTM Spotlight Riyadh Hosted Buyer Team, who will qualify and define participation formats and invitation inclusions.
5.1 HOSTED BUYERS (WITH ACCOMMODATION)
Subject to the above-mentioned registration fee, “Buyers (With Accommodation)” will receive the following (as determined by RX):
5.1.1. recognition by RX as a key buyer in the market;
5.1.2. complimentary single-room hotel accommodation in one of WTM Spotlight Riyadh’s partner properties for four (4) nights from and including 7 September to 10 September 2026. Check out will be the morning of 11 September 2026 (partner hotel to be confirmed);
5.1.3. complimentary buffet breakfast at the allocated hotel (noting that this does not include a la carte where there may be additional costs);
5.1.4. a scheduled roundtrip shared transfer from the partner hotel to the Event venue each day of the Event;
5.1.5. early access to the online meetings platform;
5.1.6. personalised support with pre-scheduling meetings in the WTM Spotlight Riyadh concierge-managed meetings platform;
5.1.7. listing in the Hosted Buyer Directory in the WTM Spotlight Riyadh meetings platform;
5.1.8. business card drop function with Exhibitors available in the WTM Spotlight Riyadh meetings platform;
5.1.9. access to the Buyers’ lounge at the Event, which includes complimentary refreshments and Wi-Fi;
5.1.10. invitation to exclusive Hosted Buyer evening experiences during the event (venues to be confirmed by the commercial team, e.g. Diriyah, Qiddiya or equivalent, by sponsorship level; return transfers post event not included);
5.1.11. exclusive Hosted Buyer events (transport will only be provided where indicated);
5.1.12. personalised support throughout the Hosted Buyer Programme by the WTM Spotlight Riyadh Hosted Buyer Team
5.2. HOSTED BUYERS (WITH ACCOMMODATION AND FLIGHTS)
Subject to the above-mentioned registration fee, “Buyers (With Accommodation and Flights)” will receive the following (as determined by RX):
5.2.1. recognition as a key buyer in the market;
5.2.2. complimentary single-room hotel accommodation in one of WTM Spotlight Riyadh’s partner properties for four (4) nights from and including 7 September to 10 September 2026. Check out will be the morning of 11 September 2026 (partner hotel to be confirmed);
5.2.3. complimentary buffet breakfast at the allocated hotel (does not include a la carte where there may be additional costs);
5.2.4. flights to and from King Khalid International Airport, Riyadh booked and co-ordinated by the WTM Spotlight Riyadh Hosted Buyer Team (flights booked independently will not be refunded)
5.2.5. airport transfers;
5.2.6. a scheduled roundtrip shared transfer from the partner hotel to the Event venue each day of the Event;
5.2.7. early access to the online meetings platform;
5.2.8. personalised support with pre-scheduling meetings in the WTM Spotlight Riyadh concierge-managed meetings platform;
5.2.9. listing in the Hosted Buyer Directory in the WTM Spotlight Riyadh meetings platform;
5.2.10. business card drop function with Exhibitors available in the WTM Spotlight Riyadh meetings platform;
5.2.11. access to the Buyers’ lounge at the Event, which includes complimentary refreshments and Wi-Fi;
5.2.12. invitation to exclusive Hosted Buyer evening experiences during the event (venues to be confirmed by the commercial team, e.g. Diriyah, Qiddiya or equivalent, by sponsorship level; return transfers post event not included);
5.2.13. exclusive Hosted Buyer events (transport will only be provided where indicated);
5.2.14. personalised support throughout the Hosted Buyer Programme by the WTM Spotlight Riyadh Hosted Buyer Team.
The following is NOT included in the Hosted Buyer Programmes:
- travel/medical insurance;
- any visa or associated costs;
- extended hotel nights beyond the dates stated in the Hosted Buyer Programme;
- double occupancy costs;
- early hotel check in/late check out fees or room upgrades or in-room enhancements;
- food and beverages (unless where specified as provided in the final event schedule);
- Saudi Arabia hotel tax and any local government charges as per regulations issued by the Saudi authorities;
- personal extras;
- costs incurred due to late payment or personal misconduct;
- airport transfers if not indicated in the Hosted Buyer Programme itinerary.
6. HOSTED BUYER COMMITMENTS
6.1. All Hosted Buyers accepted on to the Hosted Buyer Programme must be able to:
6.1.1. attend the in-person Event in Riyadh;
6.1.2. attend all three (3) days of the Event in full. For the avoidance of doubt, buyers who wish to only attend two (2) days or less will not be accepted. This includes arriving late on the first day of the Event or departing in the morning of the last day of the Event;
6.1.3. arrange to arrive on 7 September 2026 (day prior to the Event) and depart only after the close of WTM Spotlight Riyadh at 5pm on 10 September 2026;
6.1.4. commit to a minimum of thirty (30) appointments;
6.1.5. attend all appointments as pre-scheduled;
6.1.6. use the Event’s provided concierge-managed meetings platform with which to make all pre-scheduled meetings;
6.1.7. complete Hosted Buyer and company profiles in full and, as per guidelines in the WTM Spotlight Riyadh meetings platform;
6.1.8. complete all appointment ratings in the WTM Spotlight Riyadh meetings platform;
6.1.9. complete the official post-Event and the official Hosted Buyer surveys;
6.1.10. attend all mandatory networking events as scheduled to avoid no-show penalty;
6.1.11. participation in the relevant Buyer Forum on the WTM Spotlight Riyadh Future Stage may be required for Hosted Buyers from priority source markets.
7. ATTENDANCE & MINIMUM APPOINTMENT REQUIRMENTS
7.1. As part of their Hosted Buyer status, all Hosted Buyers are required to pre-schedule a minimum number of thirty (30) appointments with Exhibitors. Appointment requirements may not be bundled together and must be adhered to per day.
Appointment attendance will be monitored by RX’s meeting planners and non-attendance shall constitute a breach of these Terms and Conditions.
7.2. All Hosted Buyers must use the WTM Spotlight Riyadh concierge-managed meetings platform to secure their meetings at the Event.
7.3. Once the WTM Spotlight Riyadh meetings platform is live, Hosted Buyers must complete their personal and company profiles in full in a timely manner. Information will be provided on how to do this. Failure to complete this final part of the process may result in removal from the Hosted Buyer Programme.
7.4. Meetings made outside the platform are not advised and will not be considered towards the minimum meeting requirement.
7.5. Hosted Buyers who are unable to honour an appointment should contact the Exhibitor directly to arrange a more convenient appointment time with as much advanced notice as possible or contact the WTM Spotlight Riyadh meetings team onsite.
7.6. Buyers applying to be part of the WTM Spotlight Riyadh Hosted Buyer Programme are consenting to their contact details being made available to Exhibitors at the Event for the purposes of fixing meeting appointments.
7.7. Hosted Buyers are required to attend all three (3) days of the Event in full. Late arrival or early departure arrangements may affect Hosted Buyer status.
7.8. Hosted Buyers must communicate any delays in arrival to the WTM Spotlight Riyadh Hosted Buyer Team immediately or as soon as reasonably possible.
7.9. RX takes no responsibility for any individual on the Hosted Buyer Programme who may miss flights, transfers or functions related to the Event. Any additional expense incurred is at the Hosted Buyer's own expense.
7.10. Failure to check in at the hotel on the required date may be considered as a ‘No-Show’. Please see the ‘Travel’ section for required arrival and departure dates and times.
7.11. Any failure to meet these Terms and Conditions will be considered to be a breach. Please see Failure to Comply, No Show and Cancellation sections for more details.
8. FAILURE TO COMPLY
8.1. Failure by a Hosted Buyer in meeting any of the conditions set out in these Terms and Conditions may result in one or more of the following:
8.1.1. cancellation of Hosted Buyer status;
8.1.2. exclusion from the Hosted Buyer Programme and future Hosted Buyer Programmes;
8.1.3. loss of Hosted Buyer accommodation where applicable; and
8.1.4. additional charges as indicated in sections 9 & 10.
9. CANCELLATION AND REPLACEMENTS
9.1 Replacements: Invitations to Hosted Buyers are non-transferable and personal to the named Hosted Buyer. In instances where a Hosted Buyer needs to cancel their participation, they may submit a written request that a colleague from their organisation (with decision making authority) attends as a replacement. On the condition that the Show Team accepts the replacement in writing prior to such attendance, a cancellation fee will not apply. After Monday 31 August 2026 replacement buyers will not be accepted and any cancellation by a Hosted Buyer shall be classed as a cancellation and the full cancellation fee will apply.
9.2 Cancellation of Attendance: While cancellations are discouraged, Hosted Buyers may cancel without incurring a fee if written notice is received by close of business Monday 13 July 2026. For informed cancellations made without a replacement on or after Tuesday 14 July 2026, the fee stated in section 10.1 below will apply. This amount reflects a reasonable pre-estimate of RX's losses, including administrative costs. All cancellations, including the reasons for cancellation, must be submitted in writing to the Show Team at [WTM Spotlight Riyadh buyers email to be confirmed]. Receipt of the cancellation must be acknowledged by the WTM Spotlight Riyadh Hosted Buyer Team by the relevant dates to ensure its validity.
9.2.1 Event No-shows: Hosted Buyers who do not inform RX of their cancellation and do not attend the full Event as per these Terms and Conditions will incur a cancellation fee of US$1,000.
9.2.2 Appointment No-shows: Appointment-Holding Buyers are required to attend all the scheduled meetings that appear in their final diary, as any no-shows will negatively impact the Exhibitors’ diary. Attendance to all appointments will be closely monitored onsite by the WTM Spotlight Riyadh Hosted Buyer Team. A maximum number of three reported no-shows will be tolerated at the Event. From the fourth reported no-show, the WTM Spotlight Riyadh Hosted Buyer Team shall require a reason (in writing) Team. In the event such reason is not deemed acceptable by RX or is not proved, a cancellation fee of US$1,000 may be applied by RX and any invitation to join such a programme at future RX events will be reconsidered.
9.3 CANCELLATION OF ATTENDANCE FEES AND NO-SHOW FEES SHALL BE PAYABLE BY THE HOSTED BUYER TO RX WITHIN TWENTY-EIGHT (28) DAYS OF THE CLOSING DATE OF THE EVENT. RX SHALL TAKE PAYMENT OF ANY SUCH FEES FROM THE HOSTED BUYER’S CREDIT CARD (DETAILS OF WHICH MUST BE PROVIDED BY THE HOSTED BUYER ON REGISTRATION), TWENTY-EIGHT (28) DAYS AFTER THE CLOSING DATE OF THE EVENT IF THE PAYMENT HAS NOT BEEN MADE BY OTHER MEANS. RX WILL PROVIDE THE HOSTED BUYER WITH A RECEIPT IN RESPECT OF SUCH CREDIT CARD CHARGES FOR THE FEES. THE HOSTED BUYER MAY REQUEST AN INVOICE IF REQUIRED.
9.4 The Hosted Buyer agrees that the cancellation fees, no-show fees and failure to comply charges set out in these Terms and Conditions represent a reasonable and proportionate pre-estimate of the losses likely to be incurred by RX as a result of such breach and are not a penalty.
10. FAILURE TO COMPLY CHARGES
10.1. Any cancellation received after Monday 13 July 2026 without a replacement, will incur a cancellation fee of US$500.
10.2. Hosted Buyers who fail to arrive in time for the opening of the Event and or leave early without agreement from the WTM Spotlight Riyadh Hosted Buyer Team may incur a fee of US$500 at RX’s discretion.
Networking events, where indicated as exclusive for Hosted Buyers, are mandatory. Failure to attend or late attendance could result in RX cancelling the Hosted Buyers participation at future events.
11. GENERAL TRAVEL INFORMATION
11.1. RX requires that Hosted Buyers’ flight details are confirmed no later than Wednesday 24 June 2026 using the online travel information form provided.
11.2. All Hosted Buyers must arrange to arrive the day prior to the Event start date and depart only after the close of the Event. Early departures, unless where absolutely necessary, will not be accepted and must be confirmed by the WTM Spotlight Riyadh Hosted Buyer Team ahead of time.
11.3. Flights for all Hosted Buyers (where applicable), must meet the arrival and departure dates and times as stated.
11.4. Hosted Buyers who fail to meet the arrival and departure requirements may be removed from the Hosted Buyer Programme and will be charged a fee for missing part of the Hosted Buyer Programme. (see section 10)
11.5. Delays to arrival times due to unforeseen flight circumstances because of an airline delay or cancellation must be communicated (in writing) as soon as possible to the WTM Spotlight Riyadh Hosted Buyer Team. Failure to do so could incur removal from the Hosted Buyer Programme and incur a charge at RX’s discretion.
11.6. RX will not be held responsible for any flight cancellation costs or loss due to travel restrictions, border closures or any other reasons which may prevent the Hosted Buyer from arriving at the Event by the date stated.
11.7. RX recommends that Hosted Buyers (Accommodation Only), book flexible fares and are careful to observe Event arrival and departure criteria alongside airline cancellation and refund policies before booking flights.
11.8. RX shall not be held liable or responsible for any injury, illness, loss or damage to any person or property or additional expense involved with travel resulting from acts of God, detention, annoyance, delays, quarantine, strikes, thefts, pilferage, diseases, civil disturbances, terrorism, government restrictions or regulations, discrepancies or changes in transportation or hotel services.
11.9. Excess baggage, customs fines and the like, are the responsibility of each individual Hosted Buyer. Please consult the Saudi Customs Authority (https://www.customs.gov.sa/en) should further information be required.
11.10. RX does not endorse or approve of export gifts given to Hosted Buyers by Exhibitors. It is the responsibility of each Hosted Buyer to ensure that such gifts may be both legally removed from Saudi Arabia and imported into their home country.
11.11. It is the responsibility of all individuals to check any travel restrictions before booking flights.
11A. TRAVEL DATES
- Hosted Buyers must arrive in Riyadh by no later than 7 September 2026.
- Hosted Buyers must not depart the Event any earlier than the close of the Event at 17:00 on 10 September 2026.
- Please see general travel information section 11 above for details.
11B. VISAS
- Please note that participants from certain countries may require a visa to enter Saudi Arabia.
- Visa costs are not covered as part of the Hosted Buyer Programme and must be self-paid.
- It is the responsibility of each individual to determine what visa is needed and to arrange for a visa to arrive at the Event in time.
- Hosted Buyers may request a letter of confirmation on the Hosted Buyer Programme as part of their visa application. RX is unable to assist with any visa guidance to include checking, submission or processing.
11C. INSURANCE
- Please note that travel insurance is the responsibility of the Hosted Buyer. RX does not provide and will not arrange for travel insurance as part of the Hosted Buyer Programme.
12. ACCOMMODATION
12.1. Hotel accommodation will be provided for four (4) nights from and including 7 – 10 September 2026. For the avoidance of doubt, check out will take place the morning of 11 September 2026. Requests to deviate from these dates will not be accommodated although the Hosted Buyer is welcome to book and pay for additional nights at the Hosted Buyer’s cost.
12.2. Check in at the hotel will start at 3pm local time. Early check in or late check out expenses are not included in the Hosted Buyer Programme and such arrangements are to be made and paid for directly with the hotel.
12.3. Hosted Buyers will be offered accommodation for the dates indicated at the WTM Spotlight Riyadh official accommodation partner hotel only (to be confirmed). Where there are multiple same brand hotels in the destination, only the one as indicated by the Hosted Buyer team will be made available. Requests for a different hotel will not be accommodated.
12.4. Any additional accommodation above the four (4) nights provided by RX is at the expense of Hosted Buyers along with any incidentals (personal costs) from their stay. If additional accommodation is needed to meet required arrival or departure dates and times, this will need to be arranged and paid for by the Hosted Buyer directly with the hotel.
12.5. All Hosted Buyers are liable to pay any applicable Saudi Arabia hotel taxes and local charges as per regulations issued by the Saudi authorities. These must be paid by each visitor in person and RX will not be responsible for these charges. Please note that charges may vary according to hotel.
12.6. Hosted Buyers must settle all expenses with the hotel prior to departure and shall indemnify and keep indemnified RX against any costs, charges, losses, liabilities, claims or expenses incurred by RX arising from the Hosted Buyer's failure to pay such amounts.
13. TRANSFERS
13.1. Where transfers are provided RX will not be responsible for any missed departures.
13.2. Transfers will depart on time and will not wait for missing or late individuals. It is the responsibility of the Hosted Buyer to be ready at the pickup point at the scheduled time.
13.3. In the event of a missed transfer, the Hosted Buyer will need to make their own way to the Event at their own cost.
14. GENERAL
14.1. WTM Spotlight Riyadh is a trade event owned and organised by RX.
14.2. These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales.
14.3. RX reserves the right to remove a Hosted Buyer from the Hosted Buyer Programme at its complete discretion without liability if it is deemed to be in the best interests of RX or the Event or if such Hosted Buyer’s attendance is likely to, in RX’s reasonable opinion, damage the reputation of the Event.
14.4. Persons participating in the Event from the same company as the Hosted Buyer or accompanying the Hosted Buyer are not included in any offers regarding the Hosted Buyer Programme.
14.5. Any Hosted Buyer reported as selling their own products and services will have their Hosted Buyer status revoked immediately and must apply to attend as an Exhibitor or trade visitor. This will result in immediate removal from the Hosted Buyer Programme, cancellation of any accommodation provided by RX, loss of the registration fee and may incur a ‘failure to comply’ fee.
14.6. Hosted Buyers must always adhere to the Event’s etiquette by responding to Exhibitor meeting requests in a timely manner and checking regularly for new meetings requests and messages from exhibitors.
14.7. Hosted Buyers acknowledge they shall receive email reminders with regards to Hosted Buyer Programme commitments, especially where deadlines or requirements are not being met.
14.8. Hosted Buyers expressing behaviour that is deemed to be aggressive, rude, inflammatory, discriminatory or derogatory, either in person or online, via email, social media or any other form of communication, to any other Event attendee or RX staff member will be automatically removed from the Hosted Buyer Programme, rendering all Hosted Buyer benefits null and void, and will be removed completely from the Event. Such behaviour will affect all future applications across the RX travel portfolio.
14.9. The WTM Spotlight Riyadh meetings platform is a service provided by RX for attendees to use to preschedule their meetings and arrange their onsite agenda prior to the Event. Under no circumstances must any attendee use the WTM Spotlight Riyadh meetings platform as a vehicle through which to disseminate their feelings with regards to politics, finance, government, policy, gender, environment or any other subject that may be considered aggressive, inflammatory, discriminatory or derogatory. Anyone caught doing so will be removed from attending the Event and such behaviour will affect all future applications across the RX travel portfolio.
14.10. Any disputes arising under or in relation to these Terms and Conditions will be subject to the sole and exclusive jurisdiction of the English courts.
14.11. RX requests that Hosted Buyers provide contact details for the person whom they would like to use as a contact in the case of an emergency during the Event. This information will remain confidential and will not be used for any other purpose. By providing this information, Hosted Buyers are confirming that the named contact has agreed that their details may be supplied to RX for this purpose.
15. EXCLUSION OF LIABILITY AND FORCE MAJEURE
15.1. Subject to Clause 15.2 and to the fullest extent permitted by applicable law, RX's total aggregate liability arising out of or in connection with the Hosted Buyer Programme, the Event and these Terms and Conditions shall not exceed the registration fee actually paid by the Hosted Buyer.
15.2. Nothing in these Terms and Conditions shall exclude or limit any liability that cannot lawfully be excluded or limited under applicable law, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
15.3. Subject to Clause 15.2, RX shall not be liable for any loss, cost, damage, expense or inconvenience arising from:
15.3.1. a Hosted Buyer missing any flight, transfer or other travel arrangement;
15.3.2. the insolvency, default or failure of any airline, hotel, ground handling company or other third-party supplier;
15.3.3. any flight cancellation, delay, rescheduling or disruption;
15.3.4. a Hosted Buyer being refused boarding on any aircraft or other mode of transport, or being refused entry into Saudi Arabia or any transit or connecting country;
15.3.5. any delay, loss of baggage or excess baggage charges, all of which shall be matters between the Hosted Buyer and the relevant carrier;
15.3.6. replacement flights, alternative travel arrangements or similar costs incurred by the Hosted Buyer;
15.3.7. obtaining visas, travel permits, licences, health clearances, vaccinations or other entry requirements, all of which are the sole responsibility of the Hosted Buyer;
15.3.8. hotel accommodation costs, charges or expenses other than those expressly stated to be payable by RX;
15.3.9. any loss of profit, loss of revenue, loss of business, loss of opportunity, loss of anticipated savings, loss of goodwill, or any indirect, consequential or special loss or damage, whether arising in contract, tort (including negligence) or otherwise.
15.3.10. RX, its agents, employees and subcontractors shall have no liability for any loss, damage, expense, disruption or delay arising from a Force Majeure Event and shall be entitled to exercise the rights set out in Clause 15.4 (Force Majeure).
15.4. Any event, circumstance or combination of events or circumstances beyond the reasonable control of RX that renders the Event, the Event Location, or any material element of the Event impossible, impracticable, unsafe, unlawful or commercially unviable, or which, in RX's reasonable opinion, materially impairs its ability to organise, promote, deliver, stage or continue the Event (whether in whole or in part, or in its planned format, location, timing or manner), or materially interferes with RX's ability to transport Hosted Buyers to the Event or provide accommodation, flights, transfers, appointments, networking events or other Hosted Buyer benefits, shall constitute a "Force Majeure Event".
A Force Majeure Event includes, without limitation, any act or regulation of a governmental or public authority, fire, flood, earthquake or other natural disaster, adverse weather conditions, epidemic, pandemic, disease outbreak, travel advisory, travel warning or travel restriction issued by the World Health Organisation or any governmental authority, war, armed conflict, military action, hostile activity, threatened war or armed conflict, terrorism or threatened terrorism, missile, drone or cyber attack, civil unrest, civil disorder, riot, labour dispute, strike, lockout, utility failure, interruption or failure of transport or telecommunications infrastructure, closure or restriction of airspace, airports, borders or transport routes, cancellation or material disruption of flights, sanctions, embargoes, government security warnings, heightened security risks, or any other event affecting the safety, accessibility or viability of the Event, Event Location, attendees, exhibitors, sponsors, speakers, suppliers or travel arrangements.
If a Force Majeure Event occurs or RX reasonably believes that a Force Majeure Event is likely to occur, RX may, without liability, amend, postpone, relocate, curtail, suspend or cancel all or any part of the Event or the Hosted Buyer Programme. RX shall not be liable for any loss, cost, expense, damage, delay or inconvenience arising from such Force Majeure Event or any action taken by RX as a result of it. RX shall notify Hosted Buyers of any material changes to the Event or Hosted Buyer Programme as soon as reasonably practicable.
16. USE OF PERSONAL INFORMATION
RX will use all personal information for the purposes of fulfilling these terms and conditions, including disclosure to travel and destination management companies, conference service providers, networking and/or destination presentation suppliers as well as the Exhibitors in connection with Hosted Buyers’ attendance at the Event and subject to the RX Privacy Policy at https://privacy.rxglobal.com/.
17. AMENDMENTS
RX reserves the right to amend, substitute, withdraw or modify any aspect of the Hosted Buyer Programme, including accommodation, flights, transfers, networking events, appointment requirements, venues, schedules, speakers, programme content and Hosted Buyer benefits where reasonably necessary due to operational, commercial, safety, regulatory or other circumstances.
