SAFETY AND SECURITY AT OUR EVENTS POLICY 

1. INTRODUCTION

Reed Exhibitions Limited or the global affiliate of Reed Exhibitions Limited that is operating the Event ("RX", "our") is the Organiser of the Event. The "Event" shall be defined as the event managed by the Organiser, including any live and/or virtual component(s) thereto.

The safety, security, health, and wellness of everyone attending the Event is our utmost priority. RX works closely with the venue, our security vendors, local law enforcement authorities, public health officials/advisors, and relevant South African regulatory bodies to undertake risk assessments and develop safety and security protocols for each event.

This policy complies with applicable South African legislation, including the Occupational Health and Safety Act (OHSA), the Safety at Sports and Recreational Events Act (SASREA), and the Disaster Management Act.

2. ON-SITE SECURITY MEASURES

During the Event, a variety of security measures are implemented to protect you and maintain a safe environment. These include:

  • Security staff may approach you outside the Event, on entry, or inside the Event to assist and ensure compliance with safety protocols.
  • You are required to wear the event ID badges provided to you at all times.
  • Security safeguarding measures and operational plans may include:
    • Badge/ticket verification
    • Bag checks
    • Monitored security surveillance/CCTV
    • Uniformed and covert security guards
    • Crowd management, stewards, signage, barriers, and loudspeaker announcements
    • Walkthrough or handheld scanners
    • Uniformed and covert police
    • Canine security and detection (where applicable)

3. PARTICIPANT RESPONSIBILITIES

All participants are required to:

  • Allow sufficient time for entry procedures and remain patient and courteous during security checks.
  • Keep personal property with you at all times and avoid leaving items unattended. RX is not responsible for lost or missing property.
  • Avoid bringing unnecessary baggage to the Event.
  • Report any suspicious or unusual activity to security or Event personnel.
  • Carry a recognized form of photo ID (e.g., driver’s license, identity card) at all times.
  • Comply with all Event policies, signage, and instructions from Event personnel.
  • Refrain from attending the Event if feeling unwell.
  • Respect the personal boundaries of other attendees.
  • Dispose of your badge inside the Event area or at home after your final visit.

4. CODE OF CONDUCT

RX is committed to maintaining an environment where all individuals are treated with dignity and respect. All participants must:

  • Behave appropriately and respectfully at all times.
  • Refrain from harassment, discrimination, or offensive behavior.
  • Understand that RX has a zero-tolerance policy for:
    • Stalking, intimidation, threats
    • Offensive verbal comments
    • Physical assault or battery
    • Harassing or non-consensual photography or recording
    • Disruption of presentations or activities
    • Inappropriate physical contact or attention
    • Hate speech or symbols

Violations may result in removal from the Event without refund and possible legal action.

5. PROHIBITED ITEMS AND ACTIVITIES

Participants must not bring or engage in:

  • Weapons of any kind (including replicas)
  • Illegal substances or alcohol outside designated areas
  • Drones, skateboards, scooters, or similar devices
  • Unauthorized commercial activities or solicitations
  • Harassment, fraud, impersonation, or disruptive behavior
  • Smoking inside the venue (including vape pens)

Event security and law enforcement will treat any suspicious items or behavior seriously.

6. HEALTH & WELLNESS

RX follows public health guidance and works with venue partners to ensure a safe experience. Participants must:

  • Monitor their health and avoid attending if unwell.
  • Acknowledge the inherent risk of exposure to communicable diseases.
  • Comply with all health and safety requirements, including local public health regulations.

7. ACCESSIBILITY

RX is committed to hosting inclusive events. Participants with disabilities may request reasonable accommodations. Quiet rooms and accessible facilities will be available. For assistance, contact the Event team in advance.

8. EMERGENCY AND MEDICAL SERVICES

In case of emergency:

  • Contact Event or venue staff/security immediately.
  • On-site medical services, including first aid and emergency response, will be available.
  • Emergency procedures will be communicated via signage and announcements.

9. LEGAL COMPLIANCE

All safety and security measures are implemented in accordance with:

  • Occupational Health and Safety Act (OHSA)
  • Safety at Sports and Recreational Events Act (SASREA)
  • Disaster Management Act
  • SANS 10366: Health and Safety at Events Standard

RX collaborates with local law enforcement, emergency services, and municipal authorities to ensure full compliance.
